n8n is a platform for connecting applications and running workflows. A useful automation defines what triggers it, what data it needs, what actions are allowed and what should happen when a connection fails.

Not everything needs artificial intelligence

A deterministic rule is preferable when the input and the decision are clear. AI can help interpret text or classify requests, but its results need controls when they trigger relevant actions.

For example, identifying a request should not automatically grant permission to modify any record. The proposal defines input data, allowed fields, validations and situations that require human review. You can compare approaches in chatbot, AI agent or rule-based automation.

What an agreed implementation includes

  1. Process map: tools, data, owners and expected outcome.
  2. Scope and access: authorized accounts, allowed operations and exclusions.
  3. Build and testing: normal cases, incomplete data, duplicates and provider failures.
  4. Delivery: explanation of the flow, checks and pending items.
  5. Operation: maintenance, alerts and scope changes set out in the proposal.

Not every possible integration is included by default, nor is permanent human availability. An application without an API, adequate permissions or consistent data can limit the project.

The budget depends on the process

The entry channel, the connections, the volume, the data handled and the maintenance determine the scope. Work costs are separated from any relevant platform or usage costs. There is no universal n8n rate published.

License, hosting and control

n8n has licensing terms that must be reviewed for the intended use. Using a tool in an internal implementation does not equal authorization to resell its interface, offer it as your own product or enable any hosting model.

The proposal defines who owns the accounts, where the flow runs, how credentials are managed and who can modify it. See the license published by n8n and its error handling documentation.

Examples before deciding

Frequently asked questions

Do I have to host n8n myself?
Not necessarily. It's decided based on the project, the licensing terms, the operation and the available accounts. Hosting is not contracted without defining the scope.
Can all my applications be connected?
It depends on their APIs, permissions and limits. Before quoting, we check which operations are actually available.
What happens if a service fails?
The flow must have an error path and someone responsible. Retries, alerts and duplicate handling are designed for the specific case; silent success is never assumed.
Can I hire it for my agency's clients?
Yes, as technical execution of the agreed scope. The agency service does not imply a license to resell any software or a proprietary multi-client platform.
